OFFICE MANAGER

The Office Manager position at Sisedi Investment Group is responsible for coordinating office activities and operations. In addition, provide clerical and administrative support to management as a personal assistant to the Executives team. In addition, they will also be responsible to manage the reception and support the Portfolio Administration processes as set out in the detailed Job Description.

Duties and Responsibilities include:

  • Portfolio Administration

a. Client reporting – checking and distribution of monthly reports

b. Distribution of Holdings and transaction reports

c. Confirmation of monthly current and call account interest and interest reconciliation

d. Checking and Distribution of Statement M’s

e. Distribution of daily reports

  • General Administration Function

a. Document office procedures and processes

b. Monthly creditor payments and processing

c. E-mail appropriate information to stakeholders

d. Purchase supplies and equipment as authorized by supervisor

e. Monitor office supply levels and re-order as necessary

f. Assist with auditing

g. Maintain a complete filing system to support finance/admin records

  • Personal Assistant

a. Manage agendas, travel plans and appointments for staff

b. Manage emails, letters, packages, phone calls and other forms of correspondence

c. Track and replace office supplies as necessary to avoid interruptions in standard front office procedures

d. Submit reports and prepare proposals and presentations as needed

  • Office Functions

a. Manage staff meetings

b. Minute taking of internal meetings

c. Arrange both internal and external events

Office Supplies and Financial Information

a. Ensure office supplies are well managed and reconciled weekly

b. Maintain budget for office supplies and manage the office petty cash and reconcile weekly

c. Ensure monthly management accounts are up to date and all invoices are updated and submitted to the accountants. Support bookkeeping and budgeting procedures for the company

d. Create and update databases and records for financial information, personnel and other data.

Preference will be given to appropriately qualified, previously disadvantaged Namibians
